How to Write an Application Acceptance Letter

Normally, an application is written by someone when he or she needs some kind of an approval on something. If the application gets accepted, an appropriate Application Acceptance Letter is sent to the applicant that acknowledges the receipt of the application letter. Besides, it provides assurance to the applicant that his/her application is likely to be considered with a positive outcome. The letter has to be brief and to the point so as to make the recipient feel that his application has made a good impression. At the same time, the acceptance letter can also prove to be a nice gesture and contributes big time in creating good image of the organization.

    Getting Started: Sender’s Information

    Since this is a formal letter so it is also started with the sender’s information at the top left. The sender mentions his name, designation, company’s address and other important contact details in the way as follows:

    Date is mentioned after the sender’s information with one line space from the top in the format DD/MM/YY. It is the one on which the letter is written.

    Again with one line space from the top, the applicant’s information is entered in very much the same way as the sender’s information but with some necessary changes.

    Salutation

    The applicant is addressed in this step with Dear Mr. /Ms. /Mrs. with preferably last name. Some senders may also address using the full name of the recipient.

    The main body of this acceptance letter also composed of two to three paragraphs. The first paragraph should immediately inform the reader about acceptance of the application along with any reasons pertaining to acceptance. The second paragraph should be having some appreciation for the reader so as to make him/her feel honoured. Finally, there should be some directions and suggestions for any future correspondence.

    The conclusion of this letter is very much the same like other formal letters. One or two courteous sentences are written to end the letter in a professional way.

    The sender after writing the concluding sentence mentions an appropriate valediction such as Yours Truly, Your Faithfully or simply Regards.

    Sender’s Signature

    The sender signs the letter in the very end. The signatures are followed by name, designation and address of the organization often with company stamp.
