You have worked hard for years to establish your business. Now when your business is running successfully and you have a good customer portfolio there is no way in the world that you will take any chance that may result in losing your clientage. The faith for your clients in your dealings should be so strong that they don’t leave you ever. In order to build this relationship of trust it is important that your clients are always aware of your activities. You may be worried leaving your business for some time due to a family commitment. Nevertheless, if you leave a message notifying your clients about your absence it will always prove to be helpful and will certainly show that you are a committed businessperson.

It is good to have all such letters written on your company’s letter head. If you do not have it then start the letter writing your name in the first line, followed by company’s name, address and phone number in the following two lines.
Leaving one line space, write down the name of your client along with the name of his company, address and the phone number in the same way as above.
Again leave one line space and write down the subject which should be bold and underlined, mentioning the reason of your absence in brief.
Address your client mentioning Sir or Madam. If you do not know whom you are sending this letter to then simply write To Whom It May Concern.
As you will get to the main body of the letter, straight away inform about your absence along with the duration and the cause.
Do not forget to write give the name of some other trustworthy person in your business who will handle your clients in your absence.
Conclude the letter mentioning your date of return and some words of appreciation as courtesy for your clients and customers.
