    Begin with writing the date and leaving one line space. Write the name of your department and the company’s name with address and phone number. Make sure you follow all of the company rules when it comes to writing internal communication. Also, jot down some key points that you will like to highlight in the letter before actually writing it.

    In the next step, write down the subject which should be bold and underlined, hinting the name of the employee on leave. This is important so that the reader can see the highlighted text and get an idea of what the entire letter is about. You do not want to waste the time of your seniors and coworkers at work so make sure the letter is simple and to the point.
