
Whether it’s constructing a residential building, a public park or an industrial establishment, construction is an immense activity of doing several tasks at the same time. The construction firm first plans then designs and subsequently constructs the projects according to the requirements of the client. After successful completion of the project, an inspection test is undergone in order to make sure that the building has been constructed according to the construction code. Consequently, the assessment is carried out and lacking or flaws are corrected and modifications are made accordingly. Afterwards, when the inspection reaches its final stage and when the building is approved by the authorized third party agency, a construction acceptance letter is issued to the construction firm.
While writing a construction acceptance letter, one thing should be kept in mind that this is a business letter and requires some kind of authorization so semi block format must be followed in which the sender's information is on the letter head.
In order to learn more about how to write a construction acceptance letter follow the following steps:
Letter Head:
The letter head will include the entire sender’s information including the logo of the company and company’s address, phone number and email address. It should be on the top middle of the document after leaving a space of 2 or 3 lines of the document from the start.
Date:
After leaving a space of one line, mention the date on the right hand corner of the document and follow the following format for date:
dd/mm/yyyy
Receiver’s Information:
After mentioning the date, leave a space of one line and give the receiver’s information on the left hand corner and include the following:
Receiver’s Name
Receiver’s Address
Receiver’s Phone Number
Salutation:
Give a space of one line and start from the left hand side and address the receiver with his/her last name.
Main Body:
Here you will inform the reader that the construction has been accepted on such and such date. Also if any documents are attached then refer to those documents for instance the quality assurance check list that has been undergone.
Closing:
Close the letter by writing ‘sincerely’ and then give a gap of four lines so that the sender can put the signatures with ease. Don’t forget to type the sender’s name and his/her designation after the signatures.
Enclosure:
After the closing mention any documents that you have enclosed with the letter and give the number of documents within the brackets.
