How to Write a Lease Acceptance Letter

A lease acceptance letter is sent from the tenant to the landlord upon the acceptance of terms and conditions of the lease set by the landlord. The lease acceptance letter unlike a lease agreement is a formal acceptance by the tenant in which he/she acknowledges the landlord for accepting him/her as tenant. Although once the lease agreement is signed by both the parties there is hardly any need for other formalities. However, sending a lease acceptance letter by the tenant to the landlord is a gesture of courtesy which may go on to establish a trustworthy relationship between the two parties.

    Sender’s Information

    The sender gives his/ her name and necessary contact details at the top left corner of the letter.  It should include the following:

    Date

    After the above information, there is one line space which is followed by mentioning of the date on which the letter is written. The format to be followed in date is DD/MM/YY.

    Recipient’s Information

    Again leaving one line space after writing the date, the recipient information is mentioned. The details included in this step are very much the same as in the first step (Sender’s information).

    Appropriate Salutation

    After the above step, once again leave one line space and address the recipient with his/ her last name such as Dear Mr. /Mrs. /Ms. It is often good to mention full name of the recipient in order to avoid any possible inconvenience due to similarity in names.

    Main Content

    Right after the salutation there is again one line space after which the main content of the letter starts. There is no need to write a long story in this part. You simply thank the landlord for accepting you as a tenant and mention that you will try your best have a good relationship continue for a long time.

    Closing

    The letter is concluded with a courteous statement like most formal letters. After the statement the sender gives space for writing valediction which is followed by his/her signature and full name at the very end.
