Employees’ training is one of the important factors responsible for organizational growth and so many organizations look for training institutes for their employees’ skills development.  Organizations seeking employees’ training for their workers contact the training centers by sending out written requests for particular programs. An official from training institute is supposed to write an acceptance letter if the organization qualifies for the requested course.  For many, writing official letters is too difficult and so is the case with trainers. Well, this is a simple letter and requires your 10 minutes only. Follows the guidelines with a sample and a template for writing effective training acceptance letter!

    Sender’s Information

    The letter starts with the information of sender (your) at the top left. The information includes name of the sender, designation, department’s name (if any), company name, company’s address and zip code.

    Leaving one line enter space after the above information. The date of sending letter is mentioned in the format DD/MM/YY.

    In this part of the letter, mention the particulars. Enter the information in very much the same way as the your information.

    Opening Salutations

    Now address the recipient with words like Dear Mr. /Ms. /Mrs. (Last Name). In some cases full name of the recipient can also be used.

    Body of the Letter

    Unlike most of the formal letters, the body of training acceptance letter is not a very long one. In first paragraph mention the reason for writing this letter along with acceptance for the requested training. You can also mention any sufficient information about the training program such as duration of training along with starting and ending date. In the second paragraph, mention the concerned person who may be contacted if needed.

    Conclusion

    Like other formal letters, the training acceptance letter is also concluded with a courteous statement along with an indication of the date when the trainee is supposed to report for training.

    Valedictions, Signature and Name

    Now close the letter by giving appropriate valedictions like Yours Faithfully, Truly, Sincerely etc. Then leave three to four lines for signature and write your name and designation.
