    Getting Started: Sender’s Information

A person sending the letter mentions his/her name, address and other contact details on the top left corner of the page. Generally the below given pattern is followed:

    (Your / Sender Name)
    (Your / Sender Designation)
    (Your / Sender Company Name)
    (Company’s Address)
    (City, State, Zip code)
    (Your / Sender Phone Number)
    (Your / Sender Email Address

  • 2

    Date

After leaving a space of one line, write down the date of the award acceptance letter in the format; DD/MM/YY.

  • 3

    Recipient’s Information

Again leave one line space after writing the date and write the recipient’s information. This should include almost all the details as provided by the sender.

    (Recipient’s Name)
    (Recipient’s Designation)
    (Recipient’s Phone Number)
    (Recipient’s Email Address)

  • 4

    Salutation

In this step, the recipient is formally addressed with his/her last name. However, it is better to mention the full name to avoid any similarity with somebody else who has the same name.

  • 5

    Main Content of the Letter

The body of an award acceptance letter is the same like other formal acceptance letters. It consists of two main parts, with the first one showing keenness, enthusiasm and gratitude on winning the award.

  • 6

    Concluding the Letter

The second part of the letter should formally mention the acceptance along with some appreciation and thanks for all those who nominated and recommended your name for it.

  • 7

    Appropriate Valediction

This step comes right after the concluding statement and simply contains words like Yours Faithfully or Yours Sincerely.

  • 8

    Name and Signature

This is the very end of the letter in which a sender signs the letter and mentions his/her name and designation at the bottom.
